File attachments can be stored and accessed within SHIELD by utilizing a configured Microsoft SharePoint Site. Configuration of this is required within the Administrative settings. Please contact PROtect for additional assistance for this setup.
Example of files you may want to attach to assets include:
- P&ID’s
- PFD’s
- Design Documents (U1/U1A, etc.)
- Manufacturer Documents
- Isometric Drawings
File attachments can be directly uploaded through the SHIELD app, or bulk uploaded through SharePoint Online or locally mapped drive, and simply attached through the SHIELD app. Instructions below are given for both options.
Upload File to SharePoint
1. Navigate to the Asset you want to attach a file to, and select the asset info edit button.
2. Scroll to the bottom of the asset info and click the upload icon.
3. Select the file you want to upload.
4. Click "Open"
5. Enter description of the file you are uploading.
6. Click "Save"
7. Click "Save" to save this uploaded file. Depending on file size, the upload may take up to 30 seconds. The file is uploaded to the configured SharePoint directory and will become available to view typically within 5 minutes. (This time delay is due to Microsoft SharePoint file synchronizing and indexing requirements)
Attach Existing Files
To attach existing files, you require to have the SharePoint drive mapped locally on your computer.
1. Navigate to the Asset you want to attach a file to, and select the asset info edit button.
2. Scroll to the bottom of the asset info and click the file attach icon.
3. Navigate to the mapped SharePoint directory the SHIELD platform is linked to and select the file to link.
4. Click "Open"
5. Enter description of the file you are uploading.
6. Click "Save"
7. Click "Save" to save this attach this file. Depending on when the file was originally uploaded to the SharePoint folder, the file may be instantly available if it has fully sync'd.
