Import Assets

Importing assets is a great way to quickly load data for assets in bulk to SHIELD. This also allows an easy way to migrate data to SHIELD from other sources.

Importing assets requires two steps:

1) Generate the import template

2) Complete the template and import data

Generating Import Template

1. Click the "Import/Export" icon.

2. Click "Generate Template"

3. Check the boxes for which type of assets you would like to import.

4. Select the maximum number of rows of each asset type you would like to import at a time. This number configures how many rows will be pre-formatted with validation added to the template.

5. Click "Generate Excel Template"

6. The template file will be downloaded and can be opened.

7. Click "Enable Editing" to allow you to edit the template.

Complete Template and Import Data

1. Complete the data as required in the template.

2. Each column header will contain instructions on the field and data required. If a column header is Orange, and field is required; if the column header is Blue, the field is optional.

3. Some fields are validated based on configured data in the database. For example, Insulation options will be based on the Company Configured Insulation choices. Please select from the dropdown list.

4. When complete, save the file.

5. To import, the file must be closed.

6. Return to SHIELD and select the "Import/Export" icon.

7. Select "Import"

8. Select "Choose File" to find the saved file to import.

9. Select the file to import

10. Click "Open"

11. The file will be loaded into SHIELD and the worksheets data can be viewed by selecting the worksheet names along the top of the window.

12. SHIELD performs more data validation on the imported data.

Data rows which appear to be new valid data will be highlighted green.

Data rows which appear to be data updates of existing data will be highlighted orange.

Data rows which do not meet data validation requirements will be highlighted red.

You are unable to import the file is any data rows are highlighted red. You must fix the data issue or delete the row from the excel file before being able to import.

13. Once ready to import, click "Upload Valid Rows". SHIELD will now import the data on your screen and refresh.

14. Once refreshed, if the data rows are highlighted orange, this means the data was successfully imported as that asset now exists in the database. Repeat the data review and import for each asset type until all data has been successfully imported.
